Volunteer Policy
In order for the club to run smoothly, a dedicated team of members each contributing volunteer hours for the benefit of the club is required. The number of hours required of each family will be determined by the number of members swimming with the club and in which group the swimmers are registered in the first session of the season.
Please download the KSS Family Volunteer Tracking Form and fill it out each time you contribute your time to the club. This form can be dropped off at the Sharks office across from the Sharks Bulletin Board in the foyer of the Kenora Recreation Centre. This is an important step to ensure you are credited with any time you spend in the service of our club.
There are several ways volunteer hours can be completed:
• Swim Meets
o Taking a Swim ON Officials clinic – 2 hours
o Work at a KSS Swim Meet – 5 hours per session
o Organize Silent Auction, Speed Zone, Food/Water for officials and volunteers, T-shirts, programs, etc. – other tasks as required
• Volunteer Coach (KSS Juniors Program and/or KSS Dryland Program) – each hour spent
• Sit on the KSS Board
o approx 1 – 2 hours per month for meetings and other ad hoc meetings/committees as required
o Each defined role on the Executive comes with its own set of responsibilities and duties. President, Fundraising, Secretary and Membership for example would exceed the fundraising requirement for any family through the course of the year. Vice President, Parent Reps, Masters Rep, Social Convener, Publicity would likely exceed their fundraising requirement through the course of the year.
• Fundraising assistance: setting up selling tables, moving the Boat, selling or renewing banners, etc.
In the case of swim meets, families can put forward names of relatives to time at meets and these hours will be put toward the family’s volunteer hour commitment.
Any suggestions from members for ways to contribute to completing of volunteer hours are welcome.
Payment Option
Any family who recognizes they will be unable to contribute the required number of hours may choose to pay the equivalent associated with their commitment. Deadline for payment in lieu of volunteer hours will be the end of the first month of the first session in which the swimmer swims.
Volunteer Requirements
The club executive will set a volunteer requirement and payment equivalents for each swim group each season.
The volunteer requirements are as follows:
• For each swimmer in Competitive Group 1 – family’s volunteer commitment is 25 hours per year or $250.
• For each swimmer in Competitive Group 2 – family’s volunteer commitment is 20 hours per year or $200
• For each swimmer in Competitive Group 3 – family’s volunteer commitment is 15 hours per year or $150
• For each swimmer in Competitive Group 4 – family’s volunteer commitment is 10 hours per year or $100
• Junior Sharks – must volunteer at Mini Meets
• For each swimmer in Masters – family’s volunteer commitment is 10 hours per year or $100
Pro-rating Volunteer Requirements
Volunteer requirements will be reduced by approximately one third for each session if the swimmer joins in the 2nd or 3rd session of the swim season.
