Meet Policy

A primary goal of the KSS is to teach each swimmer how to travel to competition both as an individual athlete and as a member of the team and to teach the swimmer to be self-reliant.

Swimmers may travel with the team or with parents/friends. Swimmers may share accommodations with teammates at a hotel or stay with family.

  • Swim Meet Schedule: Swimmers should attend the maximum number of swim meets that their family’s budgets will allow. If you can only afford to compete in a few meets, the coaches can recommend the most valuable meets for the swimmer.
  • Workout Attendance: Attendance expectations are set on an individual basis. Meeting the qualifying times for a meet is not enough to guarantee entry into a meet. Non-attendance at training sessions could result in the swimmer not being entered into meets.
  • Sanctioned Meets: The KSS will only attend sanctioned swim meets.
  • Swim Ontario/Swim Canada Travel Insurance:  All swimmers are covered by Comprehensive Insurance provided through Swim Ontario/Swim Canada.  This also applies to swimmers travelling in team vehicles but NOT swimmers travelling on their own with family.

Please Note: Swimmers and Parents are covered under the Swim Ontario Insurance Policy when the team travels together in member vehicles.

  • Billeting: Billeting may be offered at certain meets and each family would decide if billeting is a suitable option for their swimmer.

For All Swim Meet Competitions

It is important that swimmers experience out of town meets so that they can develop strategies that will help them to swim fast at swim meets away from home. This can only be learned through experience.  This helps to develop team spirit and unity. By traveling and experiencing meets with teammates, swimmers will bond and develop lasting friendships, as well as grow on a personal and social level.

  • Once a swimmer has registered for a swim meet (returned the KSS Travel Permission Form and Meet Fees cheque) the swimmer is responsible for all meet costs after the Entry Deadline as published.

Please Note: Travel costs will be refunded in the case of illness or other extenuating circumstances. However, families will still be responsible for the meet entry fees as these are non-refundable.

  • Only families in good standing with the Club (paid up accounts or payment arrangements have been made) will be eligible to have their swimmer travel to swim meets.

Chaperones

Parents who wish to act as a KSS Chaperone at a particular swim meet should submit their name in writing on their swimmer’s Travel Permission Form. Pre-approved chaperone expenses will be paid by the team. These may include: gas or airfare, accommodations and meals.  Chaperones will be provided with Emergency Contact Information and OHIP numbers for all swimmers travelling to any given meet.

Chaperone Duties and Responsibilities

  • Accompany team while traveling and at the meet venue.
  • Ensure that all club members act in an appropriate manner emphasizing respect and good sportsmanship.
  • Help ensure healthy food is available and organize team meals.
  • Ensure that the swimmers staying at the hotel are in their rooms by curfew.
  • Ensure that swimmers staying with billets are picked up prior to leaving the pool.
  • Ensure that no unauthorized people are in the swimmers hotel rooms.
  • Keep track of all swimmers during the entire meet.
  • Report any inappropriate behavior to the Coach as soon as possible (document behavior in writing).
